That's where you come in.

As our Onboarding Specialist, you are the first voice a new hire hears after signing their offer letter. You set the tone. You build the confidence. You make sure every person joining our team, no matter where they are in the country, feels like they landed somewhere worth showing up for.

The Role

The Onboarding Specialist is the bridge between the moment someone signs their offer letter and the moment they are a fully connected member of the Griffin team. 

You are the new hire's guide and go-to through every step of the onboarding journey. You solve problems before new hires know they exist. You manage logistics behind the scenes so the new hire can simply focus on showing up ready.

You also run Griffin Funding University (GFU), our monthly onboarding program, keeping it organized, on schedule, and running smoothly. And you serve as a system admin across our platforms, making sure every new hire is set up and ready before their first day.

Major Goals and Responsibilities

New Hire Experience

  • Serve as the primary point of contact for every new hire from offer letter signature through full onboarding completion

  • Proactively reach out to new hires with clear timelines, warm communication, and real enthusiasm

  • Set expectations early and follow through so new hires always know what's next, why it matters, and when it's due

  • Partner closely with HR and recruiting to ensure clean handoffs and consistent communication

Griffin Funding University (GFU)

  • Collaborate with the VP of Strategy to manage the monthly GFU onboarding program

  • Build and maintain monthly schedules, aligning trainer availability, content delivery, and new hire cohorts

  • Build out and manage all Google Calendar invites, ensuring new hires and trainers are properly invited and confirmed

  • Monitor attendance and follow up on no-shows or scheduling conflicts proactively

  • Ensure every session runs on time and every attendee arrives prepared

Systems & Account Setup

  • Serve as system administrator for onboarding-related platforms, ensuring new hire accounts are created, configured, and activated prior to start date

  • Follow up with new hires to confirm logins, passwords, and account setup are complete

  • Troubleshoot access issues quickly and coordinate with internal teams when escalation is needed

  • Maintain documentation on platform setup procedures and keep them current as systems evolve

Hiring Manager Coordination

  • Partner with hiring managers across the organization to align on role-specific onboarding requirements, shadowing schedules, and task completion

  • Hold hiring managers accountable to onboarding timelines in a collaborative, respectful way

  • Serve as the main point of connection between new hires, HR, recruiting, and the managers they're joining

Job requirements

Key Characteristics to be Successful in This Role

  • Must be comfortable owning multiple processes and timelines at once without dropping the ball

  • Superior communication skills, written and verbal, with the ability to adjust your tone based on your audience

  • Highly organized with a strong attention to detail

  • A genuine people person who finds energy in helping others get started on the right foot

  • Self-motivated with the ability to manage your own priorities with minimal supervision

  • Comfortable with technology platforms and system administration

  • Strong cultural awareness: you understand that onboarding is where culture is either built or broken

Experience

  • 2+ years of experience in onboarding, HR coordination, people operations, or a similar role

  • Experience with Google Workspace strongly preferred

  • Experience supporting training programs, scheduling, or L&D coordination preferred

  • Ability to work cross-functionally and build trust quickly across departments and leadership levels

Compensation

  • Pay: $25-$27 per hour based on experience
