About the Role

This is a hybrid LOA/LO support role — not a purely administrative position, and not a full originator role. You'll be working directly alongside a high-producing Loan Officer, focused on the front end of the business: bringing in new clients, managing early-stage relationships, and keeping the pipeline full and moving. Once a file goes into processing, it transitions to a Mortgage Loan Partner who owns that client relationship through close. Your focus stays on new business acquisition — which means you're always working the front of the funnel, not getting buried in back-end file management.

This role is based in our Irvine office.

A Day in the Life

Morning

  • Review the active pipeline and flag any pre-submission files that need attention

  • Reach out to borrowers and realtors with status updates and next steps

  • Collect outstanding documentation and keep pre-approval files moving toward submission

  • Assist with scheduling consultations and managing follow-ups for the LO

Afternoon

  • Support front-end sales activity — outreach, follow-ups, and lead nurturing

  • Coordinate handoffs to the Mortgage Loan Partner once files are ready for processing

  • Maintain CRM notes and pipeline accuracy so the LO always has a clear view of what's in the funnel

  • Assist with loan structuring and pre-approval preparation in coordination with the LO

  • Close out the day with pipeline current, open items documented, and tomorrow's priorities clear

Major Goals & Responsibilities

  • Drive new business activity alongside the LO — lead intake, consultations, follow-ups, and pipeline development

  • Manage pre-approval files from intake through submission, keeping documentation complete and compliant

  • Coordinate smooth handoffs to the Mortgage Loan Partner once files move into processing

  • Serve as a key point of contact for borrowers and realtors during the pre-submission stage

  • Maintain pipeline accuracy in the CRM — notes updated, statuses current, tasks completed

  • Assist with loan structuring and submissions in coordination with the LO

  • Support scheduling and relationship management so the LO can focus on high-value conversations

  • Is client-confident. You're comfortable on the phone with borrowers and realtors, and you represent the team well.

  • Takes ownership. When something is your file, you treat it that way. You don't wait for someone to follow up on you.

  • Works well within a team structure. You understand your lane, collaborate closely with the LO and Mortgage Loan Partner, and make the whole team more effective.

What We're Looking For

  • NMLS license preferred but not required — unlicensed candidates with strong mortgage experience will be considered

  • 6–18 months of experience in mortgage — LOA, LO, or a combination

  • Familiarity with lead intake, client pipeline management, and loan structuring

  • Experience with CRM systems and pipeline tracking tools

  • Strong communication skills — written and verbal

  • Based in Irvine (this is an in-office role)
